We were the AV partner for the IAPS Annual Conference 2024 at the Celtic Manor Resort, bringing together educators and leaders from across the independent school sector. We delivered a full AV solution across plenary, breakout and expo spaces for a seamless, immersive experience.

The Challenge

One venue, many rooms, a main plenary, seven breakouts, a speaker preview room and an expo floor of 40-plus stands, all needing tailored AV, reliable transitions for speakers and consistent branding across every delegate touchpoint.

The Get-In & Install

We worked with IAPS to scope requirements across every space and coordinate the logistics of a multi-room build.

Venue and AV design. We mapped AV across plenary, breakout and expo zones, designing setups that balanced performance, coverage and looks.

Prep and testing. All sound, lighting and projection was prepped and tested off-site for reliability and fast deployment on arrival.

Branding. We produced large-format banners and vinyls with IAPS for consistent branding across the key touchpoints.

Show Days

We delivered AV across the venue, turning each space into a professional, engaging environment for presentations, networking and exhibitions.

Main plenary. A 10x3 metre stage with dual 14ft screens and an L-Acoustics Kara line array created an immersive room for every delegate.

Breakouts. Seven breakout rooms ran on projectors, screens and PA so focused sessions flowed smoothly, backed by a dedicated speaker preview room for rehearsal and slide checks.

Expo. Over 40 stands were powered and AV-supported so exhibitors could showcase without disruption.

The Derig

After the conference we struck cleanly and reviewed, with IAPS praising the immersive plenary, the breakout support and the expo coordination.

Delivering consistent AV across that many parallel spaces comes down to planning and contingency, and the result reinforced a partnership that continues into future events.
