An event happens once. Whatever you spend on it, however well it goes, the day itself is finite.

Photography is what extends it. A highlights package keeps the event working long after the room has been cleared, and it does three distinct jobs at once.

It gives attendees something to keep. It gives you marketing material that shows the event as it actually was. And it reaches everyone who could not be there.

Here is what a photography package delivers, and what to consider when commissioning one.

Memories and Marketing

Memories

As an organiser you want attendees to enjoy the event as much as possible. Photography lets them take it home.

A portrait of a speaker at their moment on stage. A wide shot of a team as they win an award. Those are moments people genuinely want to revisit, and without a camera present they simply do not exist afterwards.

Award winners in particular will use those images for years.

Marketing

An enormous amount of work goes into organising a conference or an awards show, and it should not disappear the moment the show finishes.

Sharing it online is the answer. Professional photography gives you material worth publishing, which extends the event's reach well past the guest list.

One Shoot, Many Formats

Shooting with different aspect ratios in mind means the same images work across platforms - Facebook, Instagram, LinkedIn - without recropping something that was never framed for it.

Worth briefing at the outset. A photographer who knows portrait crops are needed will leave room for them.

Sponsor Value

Photography also serves sponsors. Images showing their branding in a well-attended room are exactly what they need to justify the spend internally.

Reaching Those Who Missed It

There Are Always Absentees

However large the event and however many tickets sold, some people will not make it.

A photography package gives them a way to see the event in full - and to see what they missed.

Why That Matters Commercially

Someone who sees an inspiring speaker on stage, or a room full of people networking with businesses they want to reach, is considerably more likely to attend next time.

Post-event photography is genuinely one of the more effective tools for selling the following year's tickets, and it costs nothing additional once the images exist.

Timing

Get a small selection turned around quickly - within a day or two while the event is still being talked about - with the full set following afterwards.

Images published a fortnight later reach a fraction of the audience.

Tell the Photographer What Matters

Award moments, the keynote, the sponsor activations, the room at its fullest. A shot list takes ten minutes to write and is the difference between a set of images you use and a set you scroll past.

Choosing the Kit

Stay Within One System

There is a great deal to capture on site, and choosing the right body and lens matters.

Where multiple cameras are in use, shooting on one brand is always preferable - Canon, Sony or Lumix - so lenses are interchangeable and colour is consistent between operators.

Mixing systems produces images that need matching in post, and lenses that cannot be swapped when something goes wrong.

The Lens Range

An 11-24mm covers wide shots - the full room, the stage in context, anything showing scale.

A 24-70mm is the staple for run-and-gun coverage, and is what stays on the body most of the evening.

A 70-200mm handles portraits and telephoto work, letting a photographer get close to a speaker from the back of the room without becoming part of the show.

Being Unobtrusive

That last point is worth emphasising. The best event photography is taken by someone the guests barely notice.

Longer lenses and available light do far more for that than moving closer with a flash.
